Overview

Performs secretarial duties and administrative support functions such as preparing reports, drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.

Contribute to a safe work environment, through compliance with established safety guidelines, identifying potential safety hazards, and reporting same to the appropriate person for proper resolution.

        

Maintain a professional departmental, company and community reputation.

Responsibilities

  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities and record and transcribe minutes of meetings as required.
  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
  • Organize and maintain file system, and file correspondence and other records in a timely manner.
  • Conduct research, compile and prepare statistical reports and spreadsheets, as requested or directed.
  • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Order and maintain supplies, forms and arrange for equipment maintenance. Organize and/or purge files to file cabinets.
  • Responsible for correspondence to customers concerning their credit limits, including approvals and denials and correcting any deficiencies or issues that may arise from these correspondences.
  • Process new credit applications for both individuals and businesses.
  • Assist with returned checks and payments, as required.
  • Enter new authorized credit lines.
  • Assist in the financial balancing of bank collections, receipts from collection agencies and prosecution reports.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
  • Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters.
  • Complete forms in accordance with company procedures.
  • Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
  • Operate the Cage and Credit Department in accordance with the Choctaw Gaming Commissions Regulations, Internal Controls, and written policies and procedures affecting Pearl River Resort towards protection and safeguarding all property assets.
  • Knowledge of all Title 31 rules and regulations.
  • Maintains the highest degree of confidentiality.
  • Leads by setting a positive example to all employees.
  • Responsible for maintaining a consistent, regular attendance record

Qualifications

                AGE and GAMING:

21 years of age or above

Gaming property – Must be able to obtain and maintain a gaming license issued by the Choctaw Gaming Commission.

EDUCATION and/or EXPERIENCE:

High School diploma or GED is preferred, Associate’s degree is preferred. Six months to one year related experience and/or training; or equivalent combination of education and experience is required

 

TESTING:

Must score a minimum of 40 WPM, with an accuracy rating of 85% or better on the Keyboarding test and achieve a score of 70% or better within 20 minutes on the Excel test. Must take the required testing identified for this position.

                SPECIAL QUALIFICATIONS:

Must have a thorough understanding of Microsoft Office Suite Products (Word, Excel, Publisher and PowerPoint). Previous use and knowledge of HRIS and Kronos software and systems is preferred.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers and other associates of the organization.

REASONING ABILITY:

Ability to apply commonsense understanding to carry out simple one or two step instructions. Ability to deal with standardized situations with only occasional or no variables.

 

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by the Associate to successfully perform the essential functions of this job.

 

Essential physical abilities are walk or stand for 50% of assigned shift, must be able to sit for extended periods of time, bending stooping, kneeling, pushing, and pulling may be required throughout shift. Must be able to lift and maneuver at least forty (40) lbs.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those an Associate encounters while performing the essential functions of this job.

The noise level in the work environment is usually moderate. When on the casino floor, the noise level increases to loud. When on the casino floor or other designated areas may be subjected to tobacco smoke.

Due to the unpredictable nature of the hospitality/entertainment industry, Associates must be able to work varying-schedules to reflect the business needs of the property.
